How to get a VAT invoice from a Maxima receipt

Maxima issues a VAT invoice for a cash receipt through its self-service until the 15th of the following month, at most three times per receipt. How to do it yourself and how kvitas.app does it for you.

Why the receipt is not enough

A cash receipt is not a VAT invoice. Without one the input VAT cannot be reclaimed and the expense cannot be booked cleanly. There is one exception: a fuel receipt up to 150 EUR that carries the buyer’s details already counts as a VAT invoice under Lithuanian law, so fuel receipts never need converting.

Which numbers on the receipt matter

A Maxima receipt needs three things: the receipt number, the purchase date and the final total including cents. The receipt number is printed with the till details, the date and total are at the bottom. The total must match exactly, because the self-service identifies the purchase by it.

How to do it yourself

  1. Find the receipt number, the date and the final total on the receipt.
  2. Open the Maxima invoice self-service and enter those three values. The system finds your purchase.
  3. Name the buyer by entering your company code. The name, VAT code and address are filled in from the register.
  4. Once the invoice is generated, download the PDF.

Deadline and limits

An invoice can be issued until the 15th of the following month. Each receipt can be invoiced at most three times, so asking repeatedly is a bad idea: if an invoice already exists it should be retrieved, not recreated.

Common problems

Total does not match: usually the total was entered without cents or with a dot instead of a comma. Receipt not found: check that the number was entered without asterisks and that the date is right. Window closed: after the 15th of the following month no invoice can be issued, and nothing will help.

Do I need to enter the company name and address?

No. The company code is enough. Maxima's system takes the name, VAT code and registered address from the Register of Legal Entities.

Does it work for fuel receipts?

Fuel receipts do not need an invoice. Under Lithuanian VAT law a fuel receipt up to 150 EUR that identifies the buyer already counts as a VAT invoice.
